This privacy policy explains how Kate Keir ("I", "me", "my") collects, uses and protects your personal information when you use this website (katekeir.com), contact me, or work with me as a client. I am committed to handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What I collect
- Contact details you give me when you email, book a call, fill in a form or download a guide - name, email address, and anything else you choose to share.
- Client records needed to deliver a service - invoices, session notes, and correspondence.
- Website usage data - if you accept analytics cookies, anonymous statistics about how you use the site (pages visited, device type, approximate location). See the cookies page for detail.
- Marketing preferences - if you sign up to a guide or newsletter, your email and consent record.
How I use it and why
I only use your data for the reasons it was given to me:
- To reply to you and deliver any service you've asked about (lawful basis: contract or pre-contract steps).
- To send a guide or resource you've requested and a short related follow-up (lawful basis: consent).
- To keep simple business and tax records (lawful basis: legal obligation).
- To improve the site using anonymous analytics (lawful basis: consent).
Who I share it with
I don't sell your data. I share the minimum needed with trusted providers who help me run my business, such as:
- Email and calendar (Google Workspace)
- Email marketing (MailerLite / GoHighLevel) - only if you've opted in
- Website hosting and analytics (Cloudflare, Google Analytics)
- Accountancy and HMRC, where legally required
Some of these providers may store data outside the UK. Where they do, they're covered by appropriate safeguards (UK adequacy decisions or Standard Contractual Clauses).
How long I keep it
- Enquiries that don't become work: up to 12 months.
- Client records and invoices: 6 years (HMRC requirement).
- Marketing list: until you unsubscribe.
Your rights
Under UK GDPR you have the right to:
- Access the personal data I hold about you
- Ask me to correct anything that's wrong
- Ask me to delete it (where I'm not legally required to keep it)
- Withdraw consent at any time
- Object to or restrict certain uses
- Ask for a portable copy of data you've given me
